Generating a report
Produce a PDF medical record or release-of-information packet from a patient's archived data.
Viewer can assemble a patient's archived data into a single PDF — a complete medical record from one source system, or a release-of-information (ROI) packet suitable for sharing with a third party. Reports are generated in the background, so you can keep working while Viewer builds them.
You'll need a role that includes report access. If you don't see the Reports button in the top navigation, your role doesn't include reports — ask your administrator (see Roles & permissions).
Start a report
You can start a report in two places:
- The Reports button in the top navigation opens the Reports panel, where you can start a new report and see ones you've already run.
- A Generate report action on a patient's record starts a report scoped to that patient.
Choose the report type and scope
Reports are created with a short, guided dialog. First, choose the report type:
| Report type | Use it for |
|---|---|
| MRN report (system-specific) | A complete medical record drawn from a single source system. You select which system to pull from. |
| Release of information (ROI) | A cross-system record suitable for releasing to a third party. No system selection needed. |
Then set the scope:
- System — for an MRN report, choose the source system (shown with its name and MRN).
- Date range (optional) — limit the report to records within a from/to window. Leave it empty to include all available dates.
Choose what to include
Next, pick the sections to include in the PDF. Sections are grouped so you can include only what you need — for example:
- Clinical — allergies, immunizations, laboratory, medications, transcriptions, orders, procedures, diagnoses, scanned documents, progress notes, vitals, and more.
- Financial — insurance, bills, invoices, and related notes.
You can also choose to include documents that aren't tied to a specific visit.
Note
The sections actually available in a given report depend on your access and on what data was archived for that patient. You'll only be able to include categories your role permits.
Generate and track progress
Select Generate. Viewer queues the report and builds it in the background — you don't have to wait on the screen. Each report moves through these states in the Reports panel:
| Status | Meaning |
|---|---|
| Queued | Waiting to start |
| Processing | Being generated |
| Completed | Ready to view or download |
| Failed | Generation didn't finish — the panel shows why |
You'll get a notification when a report finishes. If you started a report by mistake, you can cancel it while it's still queued or processing.
View, download, or print
Open a completed report from the Reports panel to:
- View it in your browser
- Download the PDF
- Print it
Reports are produced as PDF files. Completed reports remain available in the Reports panel for 30 days, after which they're removed automatically. You can also delete a report yourself at any time.
Troubleshooting
| Symptom | Likely cause | What to do |
|---|---|---|
| No Reports button | Your role doesn't include report access | Ask your administrator to grant a role with reports (see Roles & permissions) |
| A section you expected is missing | The data wasn't archived for that patient/system, or your role doesn't permit it | Try a different source system, or confirm your access with your administrator |
| Report status shows Failed | Generation couldn't complete | Open the report in the panel to see the reason, then try again; if it persists, contact support |
| A completed report disappeared | Reports are removed automatically after 30 days | Generate it again |
